Hours: 37.0

Core Hours – Monday – Friday however some evening and weekend work required throughout the year.

Location: Countywide

Base location Hatfield however the postholder will be require to travel across Hertfordshire as part of this role.

Hertfordshire Music Service (HMS) supports children and young people across the county, helping them discover their unique musical voice through lessons, ensembles, and events. Our Musical Voices vision aims to make music accessible and inclusive for all.

The Instrument Coordinator sits within the Musical Progression team and works closely with colleagues in working on courses, concerts, and events, as well as regional provision in schools and music centres. You’ll regularly liaise with a range of roles across the service including regional managers, event coordinators, instrumental teachers, and administrative teams.

This is an established role but evolving as HMS refreshes its instrument strategy, giving you the opportunity to help shape future processes and improve access to music for thousands of young people.

You will:

  • Oversee the day-to-day operations of the Access to Instruments hire scheme, ensuring applications are actioned effectively and customer experience remains a priority
  • Maintain accurate records of instrument stock, location, and condition using HMS systems.
  • Coordinate logistics for instrument transport to schools, music centres, and events across Hertfordshire where relevant.
  • Coordinate internal and school-based instrument requests, working closely with colleagues to ensure each request aligns with available stock and that logistics are planned effectively for safe and timely delivery.
  • Carry out basic instrument checks and coordinate repairs where needed.
  • Ensure safe handling and storage of instruments in line with health and safety standards.
  • Work collaboratively with event and progression teams to meet instrument needs for rehearsals and performances.
  • Contribute to longer-term planning for instrument stock to support HMS’s strategic goals.

Essential:

  • Full UK driving licence (Category B) is essential, along with a willingness to drive a van up to Luton size
  • Experience in logistics, stock control, or similar operational roles.
  • Strong organisational skills and attention to detail.
  • Ability to communicate clearly and professionally with colleagues, schools, and families.
  • Competent IT skills, including Microsoft 365.

Desirable:

  • Previous experience driving vans up to Luton size
  • Knowledge of musical instruments
  • Experience in instrument handling or repair.
  • Knowledge of music education or similar service environments.
  • Experience working with children and young people.
